Privacy policy

This policy explains what we do with personal data you give us through this website, and what your rights are. It was rewritten in August 2026 to describe this site accurately.

Who we are

Piper Window Systems Limited, trading as Piper Windows, is the data controller. We are registered in England and Wales, company number 04908375, with our registered office at Apex House, 7 Park Lane Business Centre, Basford, Nottingham NG6 0DW.

We work from 49 to 51 Church Lane, Winthorpe, Skegness, Lincolnshire PE25 1EF. If you have a question about your data, or want to make any of the requests below, email sales@piper-windows.co.uk or call 01754 898 998.

What we collect

When you send an enquiry through this website, the form asks for your first name, last name, email address, telephone number, postcode, the type of work you are enquiring about, and your message. All of those are required, because we cannot give you a sensible answer without them.

If you contact us by letter, email or telephone, we keep a record of the correspondence. Telephone conversations may be recorded for training purposes.

When anyone visits this website, our hosting provider records technical data in its server logs, such as the pages requested, the time, the browser type and the network address the request came from. This is used to keep the site running and secure. It is not used for marketing and we do not use it to build a profile of you.

There is nothing else. This website has no customer accounts, no login, no shopping basket and no payments, so we collect no account details, no order history and no card details through it.

Every field on the enquiry form is required. You are not obliged to give us any of it, but if you leave a field out we cannot accept the enquiry, because we cannot quote for work without knowing what you want, where you are and how to reply to you. You are welcome to telephone us instead.

We do not make any decision about you by automated means, and we do not profile you.

Why we use it, and our lawful basis

We use your enquiry to answer it: to reply, to arrange a survey or quotation, and to carry out the work if you go ahead. Our lawful basis is legitimate interests, namely responding to a request you have made of us, and where the enquiry leads to a job, performance of a contract with you.

We record telephone calls for staff training, and keep server logs for security, on the basis of legitimate interests.

We do not send marketing emails from this website. There is no mailing list and no sign-up, so nothing you submit here will be used to market to you, and there is no marketing consent for us to ask you for.

We will never sell your personal data to anyone.

Who else sees it

• Web3Forms, the service that delivers the form. Your submission passes through their systems on its way to our inbox.
• Seonat Ltd, who built and look after this website. Website enquiries are delivered to an inbox they manage on our behalf, and they may see enquiry contents in the course of supporting the site.
• Vercel, who host the website and hold the server logs described above.
• Our email provider, which carries and stores our mail.

We may also share data where we are legally required to, for example with a regulator or in connection with a legal claim.

Some of these providers are based outside the United Kingdom, including in the United States. Where your data is transferred outside the UK, it is protected either by UK adequacy regulations or by the International Data Transfer Addendum to the European Commission's standard contractual clauses, which is the safeguard those providers offer under their terms.

How long we keep it

• Website enquiries: 90 days, then deleted, unless the enquiry becomes a job.
• Records relating to work we have carried out, including invoices: 6 years, as required by UK law.
• Telephone recordings are kept only as long as needed for training, and are then deleted.

Cookies

Nothing that measures you loads until you say yes. The first time you visit we ask, once, whether we may use Google Analytics to count visits and see which pages people find useful. Until you press Accept, no analytics script is requested and no cookie is set by us. Press Reject and none ever is. The site works exactly the same either way, and nothing here is held back behind a yes.

If you do say yes, the cookies are set by Google, not by us, and we use what they tell us only to see how the site is being used. We run no advertising pixel and no remarketing, and your name, email address, phone number, postcode and message never go into analytics. They come to us by email and nowhere else.

The one thing we store without asking is your answer to that question, so we stop asking on every page. It is kept in your browser's local storage rather than in a cookie, it holds one word, and it is never sent to us. Remembering a consent decision counts as strictly necessary, which is why we do not ask permission to remember it.

There is one other exception, and it is Google Maps. At the foot of our contact page there is a map showing where we are. It is provided by Google, and when it loads Google sets its own cookies in your browser, in the same way it would if you opened Google Maps yourself.

We have no control over those cookies, cannot read them and receive nothing from them. What Google does with them is covered by Google's privacy policy.

If you would rather not load it, the map sits at the very bottom of that page and only loads when you scroll down to it, so leaving the page before then means it never loads at all. Our full address and phone number are written out above it either way, so you never need the map to find us or get in touch. You can also block third-party cookies in your browser settings, which will stop it without affecting anything else on this site.

Our cookie policy lists every one of these by name, says what each is for and how long it lasts, and explains how to change your mind.

If we ever add anything else that sets a cookie, we will ask for your consent first, before anything non-essential is set, and update both pages.

Your rights

Unless an exemption applies, you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct it if it is wrong or out of date;
• ask us to delete it, or object to our using it, where we no longer need it. There may be legal reasons we have to keep some of it, and we will tell you if so;
• ask us to restrict how we use it while a query is resolved;
• ask us to stop using your data for direct marketing at any time, although as above, we do not market from this website;
• ask us to transfer the data you gave us to you or to someone else in a portable form, where we hold it to carry out a contract with you;
• complain to the Information Commissioner's Office. Please see https://ico.org.uk/concerns/ for how, or call 0303 123 1113. We would rather you raised it with us first so we can put it right.

Data breaches

If there is a breach affecting your personal data and it is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours, and tell you without undue delay where the risk to you is high.

Links to other websites

This site links to other websites, including our Google reviews, our social media pages, FENSA's installer register and manufacturers' brochures. Those sites have their own privacy policies and we are not responsible for them. Please read theirs before giving them any personal data.

Changes to this policy

We keep this policy under review and will publish any updates on this page.
